How to Write a Freelance Invoice: Step by Step

InvoicePig Team

Direct answer

Start with who is billing whom, add invoice number and dates, itemize services, show tax and totals, then add payment instructions—in that order.

Step 1 — Your business block

Company name, logo if you have one, and how to reach you. This anchors the document as yours.

Step 2 — Client and dates

Bill-to (and ship-to if relevant), invoice number, invoice date, due date or terms (e.g. Net 30).

Step 3 — Line items

Each row: description, quantity, rate, line total. Separate deposits, expenses, or rush fees if they are billed separately.

Step 4 — Totals

Subtotal, tax if you collect it, discounts, shipping, total due. If something is already paid, show it and the balance due.

Step 5 — How to pay

Bank details, payment link, or other instructions your client agreed to. Match what you put in your contract or email.

Step 6 — Notes

Thank-you line, PO reference, or legal note if your jurisdiction requires it—keep it short.

Following these steps keeps your invoice scannable for both humans and accounting software.
